AI Platform Comparison

Copilot vs. ChatGPT vs. Claude vs. Gemini: which is right for your business?

Every major AI platform has different strengths. Some work best inside the tools your team already uses; others shine at writing, research or long documents. This side-by-side comparison helps you understand the differences, and why the platform matters less than having a secure plan for using it.

Free vs. Business AI Plans: Why It Matters

Many employees start with a free personal AI account. It feels harmless, but free consumer versions and paid business plans can handle your company’s data very differently:

Free / personal accounts Business plans
Who owns the account ⚠️ Usually the individual employee ✓ Your organization
Is your data used to train the AI? ⚠️ May be, depending on the plan and settings ✓ Typically not, by default
Admin controls ⚠️ None ✓ Central management of users and settings
Security ⚠️ Personal password, often without MFA ✓ Company sign-in, MFA and access policies
Data retention and compliance ⚠️ Limited control ✓ Retention, audit and compliance options
When an employee leaves ⚠️ Company data may stay in their personal account ✓ Access is removed with the account

The bottom line: if employees paste client information, contracts or financial data into a free AI account, your business may have little control over where that data goes. Choosing approved business plans, and making sure employees use them, is one of the simplest and most important AI decisions you can make. Exact terms vary by vendor and plan, so review each provider’s business data policies.

How to Choose the Right AI Platform

Start with your business, not the product. These questions point most organizations in the right direction:

1What do we want AI to help with?
2Do we work mainly in Microsoft 365 or Google Workspace?
3How much of our work involves long documents?
4What data will employees share with AI?
5Which compliance requirements apply to us?
6Do we need one platform, or a combination?

Many organizations end up using more than one platform, managed under one clear AI policy. Learn more in AI Strategy for Business: Start With a Plan, Not a Platform.
